Odoo 19 vs monday.com
monday.com made project management enjoyable, and its interface is still one of the best on the market. But a board is not a way to run a business: once the project is done, you still have to bill the time, measure the margin and collect payment. All of that lives somewhere else, and that's where the costs start piling up.
Why teams outgrow monday.com
Three structural limits, not growing pains.
The board that never sends an invoice
A monday project ends with a “Done” status. The invoice gets made in another tool, with time re-entered by hand and the margin worked out in a spreadsheet. The most important number in the project, what it actually earned you, is nowhere to be found.
One product per use case, one bill per product
Work management for projects, monday CRM for sales, monday service for support, monday dev for engineering: each product is billed per user per month. The full ecosystem quickly costs more than an ERP, and your data is still scattered.
Automations on a quota
Automations and integrations are counted monthly depending on your plan: 250 actions on Standard, and you need Pro to get some breathing room. Once your processes are really up and running, the counter turns into monday's sales pitch for an upgrade.

6. What it really costs
For ten people who manage projects, sell and invoice, here are the two real bills.

- Work management Pro: €19 per user per month
- monday CRM: a separate product, billed per user on top
- monday service for support: yet another separate product
- Automations and AI on a quota, paid add-ons
- Still no quotes, invoices or accounting: one more tool to pay for
- Your data stays scattered across products and third-party tools
Odoo 19 Enterprise
Projects, sales and invoicing on the same database.
- Projects, timesheets and planning included
- CRM, quotes, invoicing, accounting and subscriptions included
- Unlimited client portal, no paid seats

Your questions, answered
Questions from teams who love monday.com but keep running into its limits.
monday's interface is a model of its kind, and we say so plainly. Odoo's project views (kanban, Gantt, calendar) are modern and smooth, with one fundamental difference: every task is linked to the quote, the time spent and the invoice. On screen comfort, the two are comparable; the depth behind the screen is in a different league.
Used well for pure coordination, monday is a good tool. The warning signs are the margin spreadsheet on the side, time re-entered for invoicing, or paying for client portal access. When those symptoms show up, the issue is no longer the board, it's the whole chain.
The €9 Basic plan has no automations or integrations; real use starts on Standard at €12 and gets some breathing room on Pro at €19, with a three-seat minimum. Add monday CRM and monday service, each billed per user, plus the quoting and invoicing tools you still have to pay for elsewhere. The Odoo subscription covers all of it.
Boards export to Excel, and the API lets us bring over projects, tasks, assignees and statuses. A team usually moves to Odoo Project in a few weeks, with its structure intact. The real work is finally connecting time to invoicing, and that's the whole point of the exercise.
The APIs on both sides make it possible to sync tasks. In practice, maintaining two project tools costs more than adopting one, and project profitability requires time, purchases and sales to live in the same place. We advise against it, except for a short transition period.
What you do with monday recipes (status change, notification, task creation, field update) is done in Odoo with out-of-the-box automations, unlimited and included. Complex scenarios actually become more powerful: an automation can act on the invoice or the inventory, not just the board.
On monday, guest access depends on the plan and costs extra. The Odoo portal gives each client a view of their projects, tasks, quotes, invoices and tickets, with no additional seat. For an agency or an engineering firm, that's a selling point in itself.
monday dev is a decent product for simple sprints. Odoo isn't meant to replace a specialized development tool either; its home turf is managing billable projects and services. If your team lives in GitHub or GitLab, both connect to it.
You don't replace a well-loved tool without support: we recreate your board structures exactly as they are, train people on their real use cases and run both tools side by side for the length of a pilot project. What wins teams over is the end of double data entry, not theory.
We import two or three ongoing projects into a trial database, the team works in it for a week, and the test invoice comes out at the end, generated from the time logged. The demo runs on your material, not ours.
Let's talk about your project
Bring your monday boards and your latest margin calculation: we'll set up the full project, time and invoice chain on a trial database. The cost of the audit is credited toward the project.
