MIX Coworking: two booking journeys on a single website

Two locations in Tassin-la-Demi-Lune, shared offices, three meeting rooms, a conference room for rent and an events program. Members book without paying anything online, visitors pay right away. All without two websites, two catalogs or any manual work.

The context

Members and visitors don't book the same way

A member's plan covers their slot, or the booking goes on their consolidated monthly invoice: they shouldn't pay anything online. Non-member visitors, on the other hand, pay right away. Both journeys have to coexist on the same website, with the same catalog, without a single booking needing manual rework.

What Odoo doesn't do out of the box
  • An unconfirmed quote doesn't block any availability. Until the booking is confirmed, the room stays up for sale: two customers can book the same slot. This is structural, not a configuration issue.
  • Rentals assume a pickup and a return entered by hand. That makes sense for equipment, but not for a room nobody hands over in person.
  • Payment methods are shown to everyone. There's no way to limit deferred payment to members only.
  • An offline payment waits for actual collection before confirming. A member's booking would stay pending instead of being secured.
What we built

Six modules, four of them written by us

1
Availability blocked as soon as the quote exists
Draft and sent quotes count toward availability, both in the back office and on the website. No more double bookings, with no change to how the team works.
2
Automatic pickup and return
A scheduled task runs every fifteen minutes to mark the start and end of the rental at the set time, and logs the operation in the history. Nobody has to check a meeting room in or out anymore.
3
Payment methods filtered by profile
Monthly invoicing only appears for subscription plans, bank transfer for internal use, and card for everyone. Visitors never see an option that doesn't apply to them.
4
“Monthly invoicing” payment method
It confirms the booking immediately without collecting payment, since payment is grouped at the end of the month on a single invoice. This is the piece that reconciles the two journeys.
5
Redesigned period selector
Booking bar, quick duration buttons, visible availability grid, and shipping details hidden since they don't apply to a room.
6
Coworking session pass
Custom development of a half-day pass system: the customer buys a pass, the counter lives on their profile, each booking deducts from it and usage is tracked over time, for both the customer and the management team. Odoo offers nothing like it, not even close.
7
Automatic price list switch
The contact's price list follows the status of their subscription, and every change is logged as an internal note. No one wonders anymore why a price changed.
8
Adaptive sign-up for individuals or companies
The form adapts to the user's status, the company ID is stored in the dedicated field, and sign-in is required before booking, registering for an event or placing an order.

The result

Two clicks for a member, an online payment for a visitor

The slot is blocked as soon as it's requested, members never re-enter their card, and bookings no longer need any manual rework, whatever the customer's profile.

Do you sell time, rooms or time slots?

Online booking almost always hits the same wall: the standard setup assumes a single type of customer. As soon as there are two, you have to dig into the mechanics underneath.
